A little bit about the company
An established professional services firm in Auckland CBD. The firm has a supportive and close-knit team and are looking for an experienced administrator to assist with accounts, client administration and the day-to-day running of the office.

This is a permanent part-time position working Monday to Thursday between 9.30am and 3.30pm.

Some more information about the role
This is a varied position combining accounts administration, client database maintenance, document management and general office support.
Your responsibilities will include:

  • Completing bank reconciliations and entering creditor invoices in Xero
  • Preparing client invoices, recurring invoices and statements
  • Managing disbursements, recharges and work in progress information
  • Preparing GST returns for partner review
  • Filing signed tax returns with Inland Revenue
  • Setting up and managing DocuSign envelopes
  • Filing completed documents and maintaining electronic records in FYI
  • Maintaining client information and workflows within XPM
  • Assisting with Companies Office registrations, changes and annual returns
  • Updating company information in CAS360
  • Supporting trust account payments and reconciliations
  • Maintaining statutory files and other company records
  • Managing incoming calls, reception and mail
  • Ordering stationery, groceries and other office supplies
  • Providing general administrative support to the partners and wider team

So, who are you?
You will be an organised and dependable administrator who enjoys variety and takes pride in completing work accurately. You will be comfortable managing recurring deadlines, working independently and supporting different members of the team.
You will ideally have:

  • Previous accounts administration or professional services experience
  • Practical experience using Xero
  • Strong attention to detail and confidence working with financial information
  • Excellent organisational and time management skills
  • Professional written and verbal communication skills
  • Confidence using Microsoft Office and learning new systems
  • Experience with XPM, FYI, DocuSign or CAS360 would be advantageous
  • An understanding of confidentiality when handling client information
